1. Introduction

All-Quip Industrial & Hardware CC ("All-Quip", "we", "us") dispatches orders of PPE, industrial workwear, safety footwear, and corporate and promotional products from our warehouse in Cape Town, Western Cape. This policy sets out everything you need to know about how we ship, how long it takes, what it costs, and what your rights are if something goes wrong in transit.

Your statutory rights under the Electronic Communications and Transactions Act 25 of 2002 (ECT Act s46) apply to every online order: we are obligated to execute your order within 30 days of receipt, and if we cannot, you are entitled to cancel and receive a full refund. Nothing in this policy reduces that right.

Order cut-off and dispatch

Orders placed and paid before 12:00 (midday) on a business day are processed and dispatched the same day, subject to stock availability, branding or other special processing requirements. Orders placed after 12:00 or on weekends and public holidays are dispatched on the next business day. Business days are Monday to Friday, excluding South African public holidays.

 

2. Delivery Zones and Timeframes

Delivery timeframes are in business days from the date of dispatch (not the date of order placement) and represent our best estimate based on courier performance data. Timeframes are not guaranteed and may be affected by factors outside our control, including adverse weather, courier network delays, public holidays, and remote location accessibility.

2.2  SADC Cross-Border Deliveries

All-Quip ships to selected Southern African Development Community (SADC) countries. Cross-border shipments are subject to import duties, VAT, and customs clearance in the destination country, which are the responsibility of the recipient.

Cross-border PPE note

Certified PPE (arc flash, fall arrest, respiratory equipment) exported to SADC countries may require country-specific import permits or safety compliance documentation. All-Quip will provide SABS/SANS certification copies on request. It is the importer's responsibility to verify that imported PPE meets local workplace safety regulations in the destination country.

 

3. Shipping Rates

All shipping rates quoted at checkout are VAT-inclusive. Rates are calculated based on the greater of actual weight and volumetric weight (length × width × height ÷ 5000), which is standard courier industry practice in South Africa.

Volumetric weight

Bulky but lightweight items (e.g. hard hats, large coveralls in cartons, reflective vests in bulk) are charged on volumetric weight rather than actual weight. Volumetric weight = Length (cm) × Width (cm) × Height (cm) ÷ 5000. We will always charge the lower of actual and volumetric weight for small retail orders.

Express rates for parcels over 5 kg are quoted at checkout. Express delivery is not available to remote zones. All-Quip reserves the right to decline express orders placed after 11:00 where same-day dispatch is not feasible.


3.4  Bulk and Road Freight Rates

Orders exceeding 30 kg or involving palletised goods (e.g. large corporate uniform orders, site PPE procurement contracts) are shipped by road freight rather than parcel courier. Road freight is quoted per order and is typically 30–50% more cost-effective than parcel courier for large volumes.

  • Road freight lead times: Cape Town to Gauteng 2–3 days; Cape Town to KZN 2–4 days; Cape Town to Limpopo / Mpumalanga 3–5 days.

  • All-Quip uses DPD Laser Bulk Road Freight and selected road freight partners for pallet shipments.

4. Order Processing and Dispatch

4.2  Stock Availability

Product pages on our store reflect live stock levels. However, because we source from distributor warehouses in addition to our own Cape Town stock, occasional discrepancies may occur between displayed and actual availability.

 

If an item you ordered is out of stock or has a longer lead time than displayed, we will:

  • Notify you by email within 1 business day of placing your order;

  • Provide an estimated restocking date or offer an alternative product;

  • Give you the option to wait, substitute, or cancel for a full refund — at your choice.


ECT Act s46(3) obligation: If goods are unavailable, we must notify you immediately and refund any payment within 30 days of that notification. We aim to process unavailability refunds within 5 business days.

 

4.3  Order Confirmation

Once your order is placed and payment is confirmed, you will receive:

  • An order confirmation email immediately (automated from All-Quip).

  • A dispatch notification with tracking number once your parcel is collected by the courier — typically within 1 business day for in-stock items.

  • Courier tracking link via email and SMS (where a mobile number is provided).


4.4  ECT Act Compliance — 30-Day Obligation

In terms of s46(1) of the Electronic Communications and Transactions Act, All-Quip undertakes to execute every order within 30 days of receipt of payment, unless you have expressly agreed to a longer lead time in writing. For custom and special orders where manufacturing or branding is required, we will confirm the agreed lead time at the time of order — this constitutes the agreed period under s46(1).

If we are unable to fulfil your order within the agreed period, you may cancel with 7 days' written notice (email to orders@all-quip.co.za) and receive a full refund within 15 business days.

 

5. Packaging Standards

All orders are packed to protect products in transit and to maintain the integrity of PPE certification where applicable. Our packaging standards vary by product category.


5.1  Standard Packaging

  • Garments and soft goods: Folded and sealed in polybags, then boxed or poly-mailer bagged depending on order size and weight.

  • Safety footwear: Shipped in original manufacturer box, protected in a secondary outer carton for orders of 2 or more pairs.

  • Hard goods (helmets, harnesses, first aid kits): Original manufacturer packaging plus outer carton with void fill for fragile items.

  • Gloves and PPE accessories: Original manufacturer packaging. Small accessories may be consolidated in a single outer carton.

  • Drinkware and promotional gifts: Original manufacturer packaging with additional bubble wrap for glass, ceramic, or fragile items.


5.2  Certified PPE Packaging

SABS-marked and certified PPE (arc flash garments, fall arrest systems, certified helmets, respiratory equipment) is shipped in its original manufacturer-sealed packaging. All-Quip does not repackage certified PPE, as the original packaging contains certification labels, care instructions, and serial numbers required for compliance records.


Inspect certified PPE packaging on delivery

If the original sealed packaging of any certified PPE product arrives damaged or tampered with, please refuse delivery or note the damage on the courier waybill and contact us within 24 hours. Damaged packaging may compromise the validity of certification documentation inside. Do not use the product until you have confirmed the certification documentation is intact.


5.3  Branded / Embroidered Products

Branded garments are individually bagged after branding to prevent transfer between garments. Multi-piece branded orders (e.g. 20 embroidered golf shirts) are packed in size-labelled sets within the outer carton to simplify distribution to your team.


5.4  Bulk and Pallet Packaging

Bulk orders dispatched on pallets are stretch-wrapped and corner-protected. Pallet shipments include a packing list attached to the outside of the pallet. All-Quip will provide a detailed packing manifest for bulk orders of 50 units or more.

 

6. Tracking Your Order

 

6.1  Tracking Methods

All standard and express courier shipments include tracking. Once your order is dispatched:

  • You will receive a dispatch email from All-Quip containing your courier tracking number.

  • DPD Laser tracking: Track at dpd.com/za using your waybill number, or via the DPD Laser app.

  • The Courier Guy tracking: Track at thecourierguy.co.za using your tracking number, or via their app.

  • SMS tracking updates are sent by the courier directly to your provided mobile number at key events (out for delivery, delivery attempted, delivered).


6.2  Tracking Updates and Expected Scans

6.3  Failed Deliveries

A delivery is considered failed if:

  • No one is available to receive and sign for the parcel at the delivery address; or

  • The delivery address is inaccessible or incorrect; or

  • The recipient refuses delivery.


In the event of a failed delivery:

  • The courier will typically make one further attempt the following business day.

  • After two failed attempts, the parcel is returned to the courier's nearest depot and held for 5 business days.

  • All-Quip will contact you to arrange redelivery. A redelivery fee of R80 (VAT incl.) applies for the second and subsequent redelivery attempts caused by recipient unavailability.

  • If the parcel is not collected or redelivery not arranged within 5 business days of the last attempted delivery, it is returned to All-Quip. You will be refunded the product value less original shipping and return shipping costs.


6.4  Road Freight Tracking

Pallet and road freight shipments are tracked via DPD Laser's freight tracking portal or via the consignment number provided in your dispatch email. Road freight deliveries require an authorised signatory at the delivery address. All-Quip or the freight carrier will contact you in advance to arrange delivery scheduling for pallet shipments.

 

7. Delivery Address and Special Instructions

7.1  Delivery Address Accuracy

You are responsible for ensuring the delivery address provided at checkout is accurate and complete. All-Quip will dispatch to the address provided. We cannot be held liable for failed or delayed deliveries caused by an incorrect or incomplete address.

If you realise you have provided an incorrect address, contact us immediately at orders@all-quip.co.za. We can intercept and redirect a shipment only before the parcel is collected by the courier. Once collected, address changes are subject to a courier redirection fee (typically R120–R180) which will be charged to you.


7.2  Business and Site Deliveries

  • For deliveries to construction sites, mines, or industrial sites: provide the site name, site address, and the name of the responsible person who will receive and sign for the parcel.

  • For deliveries to businesses with security gates or access control: provide access instructions or a contact number for security in the order notes.

  • For deliveries requiring a specific time window (e.g. before shift change): contact us before placing your order to confirm feasibility with the courier.

  • All-Quip cannot guarantee time-of-day delivery for standard shipments. Express (by 09:00 / by 11:00) services offer the closest to a time guarantee.


7.3  PO Box and Postnet Deliveries

Courier deliveries cannot be made to PO Box addresses. If you do not have a physical delivery address available, we recommend using a PostNet branch or a Pargo pickup point. Select the pickup point option at checkout or contact us to arrange this.


7.4  Multi-Site and Split Deliveries

For corporate or bulk orders requiring delivery to multiple sites or addresses (e.g. a company outfitting multiple branch offices), please contact us before ordering. Split deliveries are quoted separately, as each delivery address incurs its own courier fee. We offer discounted split delivery rates for orders with 3 or more delivery addresses.

 

8. Special Order and Branded Product Lead Times

Products that require branding, special sourcing, or manufacturing have lead times that differ from standard stock items. These lead times are built into the processing times in Section 4.1 but are described in more detail here.

Rush production is subject to capacity at the time of order. All-Quip will confirm rush availability and the applicable surcharge before processing a rush order.


8.2  Barron Special-Order Items

Barron products not held in All-Quip's Cape Town stock are sourced from the Kevro/Barron warehouse in Johannesburg. This adds an upstream sourcing leg before we can dispatch to you:

  • All-Quip places the order with Kevro — typically same business day as your order.

  • Kevro dispatches to All-Quip within 1–3 business days.

  • All-Quip quality-checks, picks, packs, and dispatches to you within 1 business day of receipt.

  • Total additional lead time for Barron special-order items: approximately 3–5 business days on top of the transit time to your address.


8.3  Dromex Special-Order Items

Dromex items not in All-Quip stock are sourced from the Dromex Cornubia (KwaZulu-Natal) distribution facility:

  • All-Quip places the order with Dromex — typically same business day.

  • Dromex dispatches to All-Quip within 1–2 business days.

  • All-Quip quality-checks, picks, packs, and dispatches to you within 1 business day of receipt.

  • Total additional lead time for Dromex special-order items: approximately 2–4 business days on top of the transit time to your address.


8.4  Custom and Made-to-Order Workwear

Custom workwear — items manufactured to a specific colour, fabric, cut, or specification not available in standard stock — involves a more complex supply chain and requires written order confirmation:

  • Specification sign-off: All-Quip issues a written specification sheet for your approval before production begins.

  • Fabric / materials sourcing: 3–7 business days depending on fabric availability.

  • Manufacturing and finishing: 10–20 business days.

  • Branding (if required): 3–7 business days after manufacturing.

  • Quality check and dispatch: 1–2 business days.


Total lead times for custom workwear typically range from 15 to 30 business days. All-Quip will confirm a written lead time commitment before you are required to pay. No deposit is non-refundable if All-Quip fails to deliver within the confirmed lead time.

 

9. Transit Damage and Loss

All-Quip takes full responsibility for goods until they are delivered to and accepted at your address. Transit risk passes to you at the point of delivery and acceptance (signature or confirmed POD).

 

9.1  Damaged Goods on Delivery

If your parcel arrives with visible damage to the outer packaging:

  • Note the damage on the courier waybill before signing. If the courier will not allow this, write "damaged — contents to be checked" on the POD.

  • Photograph the damaged packaging and, once opened, the damaged contents.

  • Report the damage to All-Quip within 24 hours at returns@all-quip.co.za with your photographs and order number.

  • All-Quip will lodge a courier claim and arrange replacement or refund at no cost to you. Do not discard the damaged packaging, as it may be required for the courier's claim process.


9.2  Lost Parcels

A parcel is considered potentially lost if it has not been delivered within 5 business days past the estimated delivery date and tracking shows no movement for 3 or more business days.


If you suspect your parcel is lost:

  • Check the tracking status using the tracking number in your dispatch email.

  • Contact All-Quip at orders@all-quip.co.za — we will lodge a trace with the courier immediately.

  • Courier traces typically resolve within 3–5 business days.

  • If the parcel is confirmed lost by the courier, All-Quip will dispatch a replacement or issue a full refund (your choice) within 5 business days of the confirmed loss notification.


Shipping insurance

All courier shipments through All-Quip include the courier's standard liability cover, which is typically R1 000 per shipment for standard services. For high-value orders (e.g. large arc flash garment orders, bulk safety footwear), we strongly recommend declaring additional insurance at checkout. Contact us before placing a high-value order and we will arrange extended cover at a nominal additional charge.


9.3  Liability for Delayed Delivery

All-Quip is not liable for consequential losses arising from courier delays — including losses arising from employees not having required PPE, production downtime, or missed deadlines — where the delay is caused by the courier or by circumstances beyond our control. For time-critical PPE requirements (compliance deadlines, site mobilisation dates), we strongly recommend ordering well in advance and selecting express delivery.

 

10. PPE-Specific Shipping Considerations

Certain PPE products in our range have shipping requirements or considerations that differ from general merchandise. These are set out below.


10.1  Fall Arrest Equipment

Fall arrest harnesses, lanyards, and associated hardware are shipped in original manufacturer packaging with the inspection record intact. Upon delivery:

  • Inspect the packaging for any sign of tampering or crushing.

  • Before placing the equipment into service, conduct a pre-use inspection per SANS 50365 and your organisation's safety procedures.

  • If any component is bent, cracked, or shows signs of impact during transit, do not use the equipment. Report to All-Quip within 24 hours.


10.2  Arc Flash and Flame-Retardant Garments

Dromex arc flash and FR garments are shipped in sealed original packaging including the certification label, ATPV rating card, and wash-care instructions. Keep the certification documentation — it is required for your OHS compliance records. Do not discard the original packaging until you have filed the certification documents.


10.3  Respiratory Protection Equipment

Respirators, cartridges, and filters are shipped in original sealed packaging. Cartridges and filters begin to degrade once the inner seal is broken due to atmospheric exposure. Do not open until ready for use. Inspect sealed packaging on delivery — any signs of moisture ingress, crushing, or seal damage should be reported to All-Quip before opening.


10.4  Safety Footwear

Safety footwear is shipped in the original manufacturer box. We recommend trying footwear on a clean indoor surface before wearing outdoors, as worn footwear cannot be returned except for manufacturing defects. See the Returns & Refund Policy for full details.


10.5  Hazardous or Regulated Products

Certain products in our range (e.g. specific chemical cartridges, pressurised respirator components) may be subject to transport regulations. All-Quip complies with relevant transport regulations and will advise at checkout if any product in your order has special shipping requirements. Affected products may not be available for express or overnight courier and may require road freight.

 

11. Public Holidays and Seasonal Delays

South African public holidays and high-volume seasonal periods affect courier and warehouse operations. All-Quip will communicate any known delays proactively via email and on our website.

11.2  December / January Shutdown

All-Quip observes a partial warehouse shutdown from 24 December to 2 January (inclusive). Orders placed during this period will be processed from 3 January. We recommend placing December orders before 18 December to ensure pre-Christmas delivery. Customers with urgent December requirements should contact us by 15 December.


11.3  Peak Periods

Courier networks experience capacity constraints during peak periods (November–December, Easter, and school start periods in January). During these periods, standard delivery timeframes may be extended by 1–2 business days. All-Quip will communicate known delays proactively. For time-critical orders during peak periods, we recommend selecting express delivery.
